ONCE YOU HAVE STARTED WORK, THE FOLLOWING PROCEDURES MUST BE FOLLOWED IN ORDER TO RECEIVE A PAY CHECK.
TIME SHEETS:
- All Personal Assistants are required to fill out a time sheet indicating their hours worked. Time sheets must be filled out in ink. Timesheets are color coded for each specific payroll classification. (see samples)
- All Personal Assistants must have the time sheets approved by the students they assist or the Director, if acting as floater/night clerk/feeder. Time sheets must be filled out prior to obtaining approval.
- All time sheets must be signed by the employee.
- All time sheets must contain the students and employees Social Security Number.
- Time Sheets must be filled out correctly. Specific hours worked should be indicated. Each day should be totaled. Each week should be totaled (see example). All time sheets not filled out correctly will be returned to the employee, which will delay their paycheck by two weeks.
- Time sheets MUST BE TURNED IN TO THE DIRECTOR OF BECKWITH NO LATER THAN 7:00 A.M., MONDAY FOLLOWING THE TWO WEEK TIME PERIOD BEING REPORTED (If you will not be working the weekend, please turn your time sheets in on Friday before 1:00 p.m.). BECKWITH TIMESHEETS ARE TURNED IN ONE WEEK EARLIER THAN OTHER ON CAMPUS EMPLOYMENT DUE TO THE INCREASED NEED FOR PAYROLL PROCESSING TIME FOR THE BECKWITH STAFF AND THE REHABILITATION CENTER TO ENTER THE HOURS AND REPORT THE TIME TO PAYROLL.
- TIME SHEETS TURNED IN AFTER THE DEADLINE WILL NOT BE PROCESSED UNTIL THE NEXT PAY PERIOD (2 WEEKS). NOTE: It is your responsibility to get approval and timesheets turned in by the deadline. If you need the student's approval do not rely on them to turn it in on time.
PAY PERIODS:
Pay periods are in two-week increments (except for grad Students who have appointments with another department- these periods are monthly, ending the 20th of each month). [see Payroll Schedule]Student payroll and Extra Help (Non-Academic) payroll periods are on alternate weeks. [see Payroll Schedule] Grad. Personnel (without appointments elsewhere) pay periods are the same as the Student payroll periods. Check with the Director of Beckwith to insure that your time sheet is turned in at the end of the correct period. Failure to follow this procedure can cause delay in your check.
UI Undergraduate students are LIMITED TO 30 HOURS PER WEEK. Extra Help Employee may work 40 HOURS PER WEEK, BUT ARE LIMITED TO 900 HOURS PER YEAR. OVERTIME IS NOT PERMITTED.
