Time Sheet Directions

DIRECTIONS FOR COMPLETING THE BECKWITH HALL TIME SHEET

  1. Beckwith Hall time sheets are color coded by payroll classifications. These separations are as follows:

    Blue = Student Payroll. Any person registered as a University of Illinois Undergraduate student. These persons should have set up their payroll through the Dennis Cable at DRES. (see Payroll Procedures).

    Green = Extra Help Payroll. Any person who is not registered as a University of Illinois Student. These persons should have set up their payroll through Mindy Johnson

    White = Graduate Student Payroll. Any person registered as a University of Illinois Graduate student. These persons should have set up their payroll through the administrative offices of DRES (see Payroll Procedures).

  2. A separate time sheet should be filled out for each separate position you hold, i.e. if you are working for two students you would fill out 2 time sheets - one for each student; or if you are working for two students and a meal assistant shift you would fill out 3 time sheets -- one for each student and one for the meal assistant shift; or if you are working for two students, one floater shift and 3 meal assistant shifts, you would fill out 3 time sheets- one for each student and a combined timesheet for the floater and meal assistant shifts.
  3. Print your name and UIN at the top of each time sheet. Both your name and UIN are required by payroll to record your hours and issue a paycheck. Timesheets will be returned to you if this information is not on the timesheet. This will cause a delay in your paycheck of about 2 weeks.

  4. Record the date and time in which you provide the service. Be sure to pay attention to the following:

    A. Separate the a.m. times from the p.m. times

    B. Separate the regular hours from the prime hours. A list of prime hours are noted on the right hand side of each time sheet. Prime hours are paid at $8.75 per hour, regular hours are paid at $7.25 per hour. If you do not separate the hours worked, you will be paid at the basic rate of $6.50.

    C. Place the total hours worked each week at the bottom of each column and the week totals on the right hand side of the time sheet. Again, be sure to separate the prime totals from the regular hour totals.

    D. Record minutes worked using the conversion chart on the right hand side of the time sheet.

    E. In the far right column of each day worked, list the position you worked by using the codes charted on the right hand side of the time sheet.

    F. If you work under an hour, you will get paid for a full hour. Record it on your time sheet as 1 hour. ex: If you worked from 12:00 to 12:15, record it as 12:00 to 1:00.

  5. If you are working for an individual student as a PA, have the student print and sign their name and write the date on the time sheet to verify hours worked. Timesheets will be returned to you if the student does not sign the time sheet. This will cause a delay in your paycheck of about 2 weeks. Each student worked for must verify hours worked, therefore a different time sheet should be filled out for each student. (PA’s will only be paid once for any time that overlaps, if you are working for more than one student during an hour you should split the time between the two time sheets.)

  6. Sign and date the time sheet and turn it into the appropriate office on the assigned date. Unsigned timesheets will be returned, causing a delay in your paycheck. Late timesheets will be held until the next pay period.

  7. DO NOT...
  • Use RED ink.
  • Use pencil. You must use non-erasable pen.
  • Have your student sign the time sheet before you have filled in the hours
  • Leave your time sheet with the student and expect them to turn the time sheet in for you...they will not remember.
  • Save your time sheets and turn them in once a month or once a semester, or
    once a year, they are due every two weeks.
